  • login and account activity;
  • security logs;
  • error and diagnostic information;

4. How we collect information

We may receive information:

  • directly from a parent or guardian;

  • automatically through the website;
  • through PayPal or another payment provider;
  • through emails and support requests; or
  • from service providers helping us operate the website.

Parents and guardians should ensure that information supplied about a learner is accurate and appropriate.

5. Why we use personal information

To provide and administer the course

We use parent and learner information to:

  • register families;
  • create learner accounts;
  • provide lessons and activities;
  • save quiz and game progress;
  • issue access details;
  • provide explanations and feedback;
  • produce parent progress information;
  • respond to support requests; and
  • manage course access.

For parent information, this processing is generally necessary to take steps before entering into a contract or to perform the contract.

Where learner information is concerned, we rely on our legitimate interests in providing the educational service purchased by the parent, operating the course effectively and supporting the learner’s progress. We consider the learner’s interests, rights and wellbeing when using this basis.

To process payments and keep financial records

We use transaction information to:

  • confirm payments;
  • administer refunds;
  • prevent fraud;
  • maintain accounting records; and
  • meet legal and tax obligations.

The lawful bases are performance of the contract, compliance with legal obligations and our legitimate interests in maintaining accurate business records.

To communicate with families

We use contact details to send:

  • registration confirmations;
  • login information;
  • essential course updates;
  • progress reports;
  • support responses;
  • security notices; and
  • information necessary to deliver the purchased course.

These are service communications rather than optional marketing.

Marketing

We will only send marketing emails where:

  • you have actively agreed to receive them; or
  • another lawful exception, such as the existing-customer soft opt-in, applies.

You can unsubscribe at any time.

Marketing consent must be separate and optional. It must not be bundled into acceptance of the Terms or the Privacy Policy.

Security, legal claims and compliance

We may process information to:

  • protect accounts;
  • investigate misuse;
  • prevent fraud;
  • maintain website security;
  • respond to legal requests;
  • establish or defend legal claims; and
  • comply with applicable law.

6. Children’s information

The course is designed for children, but registration and purchase must be completed by a parent, guardian or other responsible adult. We only require the first name of the child and although they may add to their profile this is intentionally limited and not externally accessible

We aim to collect only the most basic information of the learner needed to:

  • provide the course;
  • record progress;
  • improve learning;
  • keep accounts secure; and
  • communicate appropriately with the parent or guardian.

We do not:

  • sell children’s personal information;
  • send direct marketing to learners;
  • use learner information for targeted advertising; or
  • make solely automated decisions that have legal or similarly significant effects on a learner.

Automated quiz scoring and progress displays are used only as educational tools. They are not formal assessments, admission decisions or diagnoses.

7. Who we share information with

We may share limited information with organisations that help us operate the course, including:

  • website-hosting and technical-service providers;
  • WordPress and website-plugin providers where their services process data;
  • payment providers such as PayPal;
  • email and communication providers;
  • security, backup and technical-support providers;
  • professional advisers such as accountants or legal advisers; and
  • regulators, courts or public authorities where required by law.

Service providers should receive only the information reasonably necessary to perform their role.

We do not sell parent or learner personal information.

8. International processing

Some technology, payment or communication providers may process information outside the United Kingdom.

Where personal information is transferred internationally, we will rely on an appropriate lawful safeguard, such as:

  • UK adequacy regulations;
  • an approved international data-transfer agreement; or
  • another safeguard permitted under UK data-protection law.

9. How long we keep information

We retain information only for as long as reasonably necessary.

Our usual retention approach is:

  • Unsuccessful registration enquiries: normally up to 12 months after the last contact.
  • Learner accounts and progress data: for the course-access period and normally up to 12 months afterwards, unless earlier deletion is requested or longer retention is needed to resolve a dispute.
  • Support correspondence: normally up to two years after the matter is resolved.
  • Consent and legal-term records: for as long as needed to demonstrate what was agreed.
  • Marketing information: until consent is withdrawn or the information is no longer needed.
  • Financial and transaction records: for the period required by tax and accounting law.

We may retain limited information for longer where necessary to comply with law, investigate fraud or establish or defend a legal claim.

When information is no longer required, it will be deleted, anonymised or securely disposed of.

10. Security

We take reasonable technical and organisational measures to protect personal information from:

  • unauthorised access;
  • loss;
  • misuse;
  • alteration;
  • accidental destruction; and
  • inappropriate disclosure.

Measures may include:

  • password-protected accounts;
  • encrypted website connections;
  • access controls;
  • software updates;
  • security monitoring;
  • restricted administrative access; and
  • backups.

No website or internet transmission can be guaranteed completely secure, but data-protection law requires appropriate measures to protect personal information.

11. Cookies

The website may use essential cookies needed for:

  • account login;
  • security;
  • remembering course activity;
  • processing forms; and
  • operating website features.

Essential cookies do not normally require optional consent where they are strictly necessary for the requested service.

Non-essential analytics, advertising or tracking cookies will only be used where the legally required information and consent have been provided.

Further details should be provided in the website’s Cookie Policy or cookie-consent notice.

12. Your data-protection rights

Depending on the circumstances, individuals may have the right to:

  • request access to their personal information;
  • ask for inaccurate information to be corrected;
  • ask for information to be deleted;
  • request restriction of processing;
  • object to certain processing;
  • receive certain information in a portable format;
  • withdraw consent where consent is the lawful basis; and
  • complain about how information has been handled.

These rights are not absolute and may be subject to legal exceptions.

A parent or guardian may contact us about information relating to their learner. Children may also have data-protection rights in their own name, depending on their age, understanding and the circumstances.

15. Changes to this policy
